Refrigeration runs off the truck’s own generator by default. Where a venue wants it quiet — a wedding, a hospital, a residential block — shore power is usually workable.
Setup and teardown
The truck arrives 60–90 minutes before service to park, level, and bring the freezers to temperature. That window is not service time.
Serving ware & disposables
Cups, cones, spoons, and napkins included as standard; custom-printed cups and sleeves are the cheap half of a branded activation.
Insurance & certificates
General liability and any venue-specific certificate of insurance, issued ahead of the date rather than argued about on it.

Why an ice cream truck.

An ice cream truck is instant nostalgia, which is why it works as both a party centerpiece and a brand magnet. The moment one pulls up, it changes the mood of a room or a sidewalk: people line up, phones come out, and a simple scoop becomes the thing everyone remembers about the day. For a private event, that is the point. For a brand, that goodwill is the media.

It scales cleanly from an intimate party to a high-volume sampling push. Planning an ice cream truck.

Season is the real constraint, not availability
Search demand for ice cream trucks roughly doubles between March and July, and so does booking pressure. A Saturday in July is a genuinely contested date; the same truck in October is easy. If your date is in high summer, two to three weeks is the floor rather than the average.
Heat changes the service, not just the comfort
On a 90°F day a soft-serve line moves slower, because product needs longer to hold shape. It is the one weather condition that materially affects throughput, and it is worth telling us about a rooftop or an unshaded plaza in advance so we can staff for it.
Indoors is possible, with notice
A dessert cart fits a lobby or an atrium and runs off standard power. A full truck does not come indoors — but it can park at a loading dock and staff can run product in, which is how most museum and office-tower events actually work.
Kids’ events have a different rhythm
A school or birthday crowd arrives all at once and leaves all at once, so the whole line hits inside twenty minutes. A short menu served fast beats a broad one, and we staff to that shape rather than to the headcount alone.
Branding is cheap at the small end
A full wrap starts around $5,000 and only pays off across a multi-day run. Custom cups, sleeves, and a menu board in your colours get most of the visual effect for a fraction of it — which is the right call for a single-day activation.

How far in advance should I book an ice cream truck?
Two to three weeks is comfortable outside the summer. From May to September — and especially for Saturdays in July — book earlier, because demand for these trucks roughly doubles across those months and the good dates go first.
Do you rent ice cream trucks for a whole season?
Yes. Multi-day and recurring bookings are quoted differently from a single day, and the per-day rate drops across a longer run. Summer-long retail or campus placements are a normal shape of booking for us — tell us the pattern of dates and we will price the run rather than the days.
